Thanks to four people who volunteer for 95% of all events for Horizon:  Anne, Tom, Dana and Ken.

Thanks to Courtney for volunteering to take on job as Event’s Coordinator.

Thanks to Melissa for taking over as Mass Secretary when originally she was asked to be the Deacon Mass Secretary.

Thanks to Shellay for volunteering to take over as Initiation Secretary and being the person to keep Onyieh sane and helping her with Horizon business.

Web site

Shellay has taken over as web master for Horizon Oasis and had updated the website, www.seattle-oto.org

Community is encouraged to use the web site for reference – calendar, library, and contact information.

Shellay has made professional emails for all the Officers, including Courtney and Yuri.

 

Officer Duties – meet monthly

Shellay Maughan - Initiation Secretary

Collects all initiation paperwork, consent form, application, fees/dues.  Reviews paperwork for accuracy.  Send paperwork into GL, schedules initiations, completes Initiations Summary reports, orders supplies.  Shellay has also worked on the Initiation equipment and has plans for Equipment work party this spring/summer.  She has also made a cover sheet to go along with all applications and made a FAQ sheet.  Shellay has and is continuing to organize and streamline the handling of Initiations and scheduling.  Shellay is also the Deputy Body Master - if Onyieh has an emergency, falls ill or on a lengthy vacation Shellay would step in and take over the duties of running Horizon Oasis.

Melissa Holm – Mass Secretary

Sends out emails for Mass Lead volunteers.  Schedules dates with QAMT and schedules all the Mass teams, ensuring all officers and children are accounted for in each Mass.  Purchases roses and wine for Mass.  Melissa has taken great care in repairing the High Altar and has plans to keep up the repair and restoration.  Melissa is also heading up a Priestess workshop and has planned an informal Gnostic Mass meet and greet.

Rebecca Erlin – Secretary and Librarian

Takes meeting minutes and sends out to officers after each Officer’s meeting.  Rebecca has taken over more duties as filling out the Annual report, answering email inquiries about Mass, Thelema, O.T.O. etc.  She also has taken over the archived database and keeps track of every single event that is under the auspices of Horizon Oasis. 

Rebecca is also the librarian and houses all the books.  She is encouraging people to contact her in checking out the books.  See the web site for a comprehensive list of books.

Ashley Batchelor – Treasurer

Takes care of all financial transactions for Horizon.  He cashes all checks within a week of receiving them.  He has finished all the necessary paperwork for our EIN with city, state and federal levels so we now have a bank account in the name of Horizon Oasis.  He sends a quarterly financial report to GL and also processes the Red Book reports, the financial paperwork for Initiations.  Ashley also created a database in Access of persons who pay dues, what month and year and how much.  He also created an Access database for all events – which is now Rebecca’s duty. 

Onyieh Jewel – Body Master

Responsible for all business conducted within Horizon.  Required to report to GL certain items in a certain time frame and responsible that these time frames of other Officers are kept.  Answers email, organizes events, meetings, people and ensures things run smoothly and within policies set by GL.  Holds meetings with Officer every month to discuss various agenda items making decision on the business of OTO.  Implements local policy as necessary.  Working on the Facility Committee.  Bottom line Onyieh is responsible for any and all happenings within Horizon Oasis. 

Onyieh summarized that she wants the community to know she wishes for feedback and is there for the community and open to communication.

 

Facility Committee

·         Meet in February

·         3-5 people volunteer – I might ask directly

·         Go over notes from 6/03 meeting about Facility issues/pros/cons

·         Find answers and report findings at next HCM

·         Down the line discuss pledges, cleaning and maintenance, work parties

·         Will do what the community is ready for

Suggestions were raised in looking for places with East/West orientation, insurance rates lower once we are non profit status.  Courtney, Tom and since Yuri have volunteered to be on the committee with Onyieh. 

 

Volunteering

·         More volunteers besides the same handful of people

·         Cleaning agreement, events, fund-raisers, potlucks – to set up, clean  up

·         Mass/Initiations – honour and glory

·         Seen who works and who does not – taking into consideration when choosing for roles

·         No matter what degree how long or little you have been around

One issue raised is new persons attending might need some guidance and can be asked, they want to help, but do not know where to begin.  Ensuring we have Leads for set up, break down and clean up. 

 

Planning future HCMs

·         Every quarter – off months from Sun Holidays –  Jan, April, July, October – after Mass starting 5pm.

 

Other Items raised no on agenda

·         Gnostic Mass Novitiate list to Grand Lodge.  Onyieh will hold meeting with  those that are Novitiate Officers, even children to pass out EGC manual and discuss Mass, its meaning and representing Horizon Oasis.  Anyone in the Mass should have a basic understanding of what the Mass is, what it represents. 

·         Three days Writing of the Book of the Law – Onyieh to send out email with details.
